Auxiliary and summer directors have a very unique and complex leadership role in schools and are gaining greater recognition as key players to help advance strategic priorities and deliver on the mission. This workshop is an opportunity to step back and reflect on who you are as a leader (or future leader). Directors are often in charge of a large domain with a lot of responsibility, yet they are also positioned somewhere in middle management or at least report to someone else. Auxiliary and summer program directors are also often unique in the necessity for them to interact with all facets of the school (i.e. facilities, security, academic depts., athletics, etc.). Unlike other roles in a school, auxiliary and summer must be both entrepreneurial and budget-conscious—earning the money that they spend—which creates both challenges and opportunities in leading programs. This workshop will demonstrate the use of conceptual frameworks for thinking about leadership, understanding your style of leadership, creating functional teams, assessing performance, and planning strategically. The emphasis will be on high-level, universal elements of leadership and less about the specifics of management. Claim your rightful place by leading in, leading up, and leading the way!

With limited time—and often limited personnel and resources—maximizing efficiency and effectiveness is a challenge faced by both veterans and newcomers to the Auxiliary Programs field. Framed by the scope of a yearlong auxiliary cycle, this working session will explore the tasks and responsibilities associated with an auxiliary programs workload, including: financial management, marketing, human resources, program planning and implementation, enrollment and registration management, risk management, and how to manage the “everything else” that often comes our way. Participants will be introduced to the concept behind the SPARC Compass and will be supported through the creation (or evolution for existing users) of a bespoke Compass for their specific role and responsibilities. Lean into the “bigger picture” of an annual Auxiliary cycle in order to identify techniques and strategies for better managing projects, workloads, and new initiatives on a day-to-day basis. Working with mentors and your auxiliary colleagues, you will build and organize your Compass, share ideas on projects, compare season cycles, identify opportunities for delegation or collaboration, and explore the potential of longitudinal work cycle data. You’ll leave with a working tool and a cohort of colleagues that will help us all find the way.

Like many independent schools, Harvard-Westlake has undertaken a number of significant policy evaluations around diversity, equity, inclusion, and belonging. While those projects reviewed almost all aspects of school operations, Harvard-Westlake Summer was not explicitly included. To ensure that the summer operation conformed with the schoolwide DEIB vision, Harvard-Westlake Summer performed its own DEI audit. This session will begin by exploring the relationship between the DEIB goals for the auxiliary program and those of the rest of the school. The specific goals of the Harvard-Westlake Summer DEI audit, the process undertaken to complete the audit, and the results obtained will be shared. While the framework was specifically designed for a summer program, the session will explore how the framework could be applied to other auxiliary operations. Participants will leave with concrete steps that can be used to evaluate the DEIB goals of their own auxiliary programs.

Yes, I used the word Business! Most of us working at Independent Schools as Auxiliary Directors/Summer Directors have several strategic priorities. Two of the most prominent objectives are usually (1) generating non-tuition revenue that contributes to the school’s operating budget while supporting its mission and (2) providing high-quality programs, services, and offerings to our students and families. Balancing these objectives can be challenging. To complicate matters, we’re running businesses inside of organizations that don’t often think of themselves as a business. We operate with shared spaces, limited resources, and often with some resistance from our school community. Infusing Auxiliary/Summer programs into the school creates challenges, and cultural, operational, and programmatic stressors will add to those challenges as auxiliary programs grow. Auxiliary began as an afterthought at most schools, so many schools are still catching up on how to incorporate auxiliary and those employees. You work at a school for a reason: community!!

Learn to increase/maximize your visibility! You'll discover how to discuss your visibility through proper channels all the way to the top (supervisor, eventually with Head of School; your desire to be visible is a good thing!) We'll cover individual visibility: carline, lunch duty, recess duty, field trips, subbing, and more! Make sure your programs are visible to the rest of the school community (parent, student, faculty, and administrative).

Learn the benefits of collaborating with: Communications, Advancement, Business, DEI, Admissions, Technology, Facilities, and Head of School.

We are all the content creators and implementors of programs, but when it comes to financing a class or camp, we all find it difficult to make decisions. How do we charge families more for one class or camp over another? Do we pay some teachers more than others? Is there a school policy on how much to pay vendors? We will discuss these questions and others as we explore how to set pricing and strategically price classes. I will share what we do at our school and how we have tweaked our process over the years. Or maybe you’re one of the adventurous explorers who has already started forging your own SPARC Compass path, but you’re curious to hear how others are using this tool for managing logistics, projects, and more. We will begin with a panel of Compass users from departments and programs of various sizes who will share their custom tweaks, strategies, innovations, and poignant moments of success after one year of Compass implementation. From there, you’ll have the opportunity to join a working group to further develop your own Compass tool. Participants will leave with an updated model of their own Compass and a network of other users to further collaborate with during monthly SPARC Waypoint sessions.

Participants should bring a laptop and a copy of their Compass (if available). Previous use of the SPARC Compass is not required for this workshop!
